How to Migrate Your Affiliate Program to a New WordPress Plugin (Zero Drama)

A migration runbook for switching affiliate plugins — what data must move, the staging-first process, partner communication, and the cutover checklist.

Programs outgrow tools — pricing changes, features stall, data-ownership priorities shift. The migration itself scares merchants more than it should: affiliate data is small and well-structured, and with the right order of operations the switch is a quiet weekend project, not a cliff.

Here's the runbook.

Know what actually needs to move

Affiliate data has a clear hierarchy of importance:

  1. Affiliates — the accounts: user, slug, payment email, status, custom rates. Non-negotiable.
  2. Unpaid balances — commissions earned but not yet paid. Getting these right is the trust moment of the whole migration.
  3. Coupon assignments — which code belongs to whom, so coupon attribution survives the switch uninterrupted.
  4. Historical referrals — nice for continuity and reporting; not strictly required for operation.
  5. Old click/visit logs — leave them behind. They're stale within weeks and usually shouldn't be retained long anyway (GDPR retention).

If your current tool exports CSVs, you're covered. If it's a hosted platform, export everything you can before canceling — access tends to end abruptly with the subscription.

Stage first. Not optional.

Run the entire migration on a staging copy of your site before touching production. Every competent host offers one-click staging; the discipline costs an hour and catches the real-world quirks — duplicate slugs, weird legacy statuses, a coupon assigned to a deleted user — while they're free to fix. (This isn't just our advice: testing on staging before any live deployment is a stated customer responsibility in our terms, because it's the difference between a surprise on staging and a surprise on your store.)

The rhythm: snapshot production → migrate on staging → verify (counts, balances, spot-checks) → then repeat the now-rehearsed steps on production during a quiet hour.

The mechanical part is the easy part

With Affiliate Factory WP, the Tools screen detects other affiliate plugins' data in your database and offers a one-click migration — affiliates, balances, and coupon assignments move over in place. For anything else, the CSV importer takes the standard columns (email, slug, rate, status, payment email). On staging, the verification pass looks like:

  • Affiliate count matches the old system (minus any deliberate cleanup)
  • Ten random unpaid balances match to the cent
  • Coupons resolve to the right owners
  • A test referral flows end to end: click → order → pending commission

Communicate like it's a feature, not an apology

Partners don't fear migrations; they fear silent changes to their money. One email, sent before cutover, prevents every support ticket:

We're upgrading the system behind our partner program this weekend. What changes for you: a new (nicer) dashboard at the same address. What doesn't: your link, your code, your rate, and every cent of your unpaid balance — [amount] as of today — which carries over automatically. Payouts stay on the 1st. Questions? Just reply.

Including each partner's balance in that email is the single highest-trust move available — it proves the number survived before anyone had to ask.

Cutover day checklist

  1. Fresh production backup (database + files)
  2. Pause the old plugin's payout processing
  3. Run the rehearsed migration
  4. Verify the same four checks from staging
  5. Redirect old dashboard/application URLs if paths changed
  6. Send the "we've moved" note with dashboards to check
  7. Keep the old plugin deactivated but installed for two weeks as a reference, then remove it

The first payout settles everything

Schedule the first post-migration payout promptly — even slightly early. Nothing closes the trust loop like money arriving on the new rails, on time, with the ledger entry to match. After that payout lands, the migration is emotionally over for your partners, whatever the calendar says.
